A 7-Step Medical Device Procurement Checklist: Straumann Implants, Manual Resuscitators, and More

If you're the person who turns a clinician's request into a purchase order—practice manager, office administrator, procurement coordinator—this is for you. It's for weeks when one order is a Straumann implant case, the next is a manual resuscitator for the procedure room, and the one after that is a hematology analyzer for the lab.

Step 1: Define the clinical need in writing

Before you compare prices, get the clinician to write down what they need. Not just "implants" or "resuscitator." Specifics. If a vendor can't show ISO 13485:2016 certification, that's a red flag. I learned this in 2020 when I found a great price from a new vendor—$200 cheaper than our regular supplier. I ordered a small batch of disposables. They couldn't provide a proper invoice, let alone documentation. Finance rejected the expense report. I ate the cost out of the department budget. That $200 savings turned into a $2,400 problem. Documentation is step three, not an afterthought.

Step 4: Calculate total cost, not unit price

In my opinion, this is where value-over-price actually lives. A hematology analyzer may have a low "sticker price," but what about installation, training, service contract, reagents, controls, calibration, and waste disposal? Those line items can exceed the instrument cost in the first two years.

The same logic applies to dental implants. If a case uses a Straumann implant, you also need the healing component, abutment, possibly a surgical guide, and maybe the drill kit if you're starting from scratch. The implant is only one line on the invoice.

Step 5: Check inventory status and delivery dates

For emergency equipment like a manual resuscitator, the delivery date is the product. A resuscitator that arrives in six weeks is not a backup plan. It's a plan with no oxygen. (Sorry. Not sorry.)

For a scheduled implant case, a two-day delay in a surgical kit can mean rescheduling a patient and the entire surgical team. The sensor measures glucose every few minutes and sends data to a reader or phone app. What does that mean for purchasing? It means you need to know sensor wear time, transmitter compatibility, and app requirements. That changes inventory, training, and patient education.

Technology understanding also matters for dental workflows. If a clinician asks about dental monitoring Straumann options, I don't make the clinical decision. But I can check whether the system needs specific tablets, cloud storage, or integration with the practice management software. Let the clinician choose the clinical tool. You choose whether it will work inside your existing setup.

Step 7: Verify the invoice and payment terms before the first shipment

This sounds basic, but it's the step that gets skipped when you're in a rush. For every order, confirm the legal entity on the invoice, PO number, line-item part numbers, quantities, unit prices, tax handling, shipping terms, and return policy. For a big purchase like a hematology analyzer, also confirm warranty start date and service response time.

One time I approved a PO without checking the vendor's "net 30" definition. It was actually "net 30 from the end of the month," which stretched payment to 60 days. Not a huge disaster, but it created a reconciliation headache with finance.

There's something satisfying about a perfectly executed order. After the stress of delivery and installation, seeing the invoice match the PO—that's the payoff.

What to Watch Out For

Common mistakes

  • Comparing prices without comparing scope. A quote that excludes setup or shipping isn't a quote; it's a teaser.
  • Trusting verbal promises. If it's not in writing, it didn't happen.
  • Treating a manual resuscitator as a commodity. It's not.
  • Forgetting the cost of delayed workflow. If a missing part makes a clinician lose an afternoon, that's often more expensive than the part itself.

My limitations

This checklist works for my context: a mid-size multi-specialty clinic with predictable ordering patterns. If you're a large hospital network or a single-provider office, your process might differ. I've only worked with domestic vendors, so I can't speak to import issues in your region. Use what's useful, adapt the rest.

Final thought

The most expensive purchase is not the one with the highest price. It's the one that has to be ordered twice. Documentation, compatibility, lead time, and total cost save more than any discount.
